Multi-location booking add-on (staff scheduling + LINE)
A US$29/month add-on: customers pick a location, service and time on LINE or your site, bookings are assigned to staff automatically by shift, and confirmations, reminders, waitlists and follow-ups go out on LINE.
Marketing → Multi-location booking. For appointment businesses with several locations and staff (massage, spas, salons, clinics). It replaces staff answering every booking request by hand.
A US$29/month add-on (US$290/year) with unlimited locations, staff and bookings. It isn't included in any plan, and every plan can add it. If only one person takes appointments, the built-in Bookings feature is enough — you don't need this add-on.
How customers book
Customers open the booking page (your-domain/reserve, or the “Book now” button in your LINE Official Account menu):
- Choose a location (skipped if you only have one)
- Choose a service
- Choose a therapist: any available, female, male, or a specific person
- Choose a time — only times when someone can actually take the booking are shown, so you can never be overbooked
- Confirm
Customers who open it inside LINE enter their name and mobile once; after that they never fill in the form again — they're recognized by their LINE account. Customers without LINE can still book on your website with name, mobile and email, and get confirmations and reminders by email. Bookings made this way are paid at the store.
If the day they want is full, customers can tap Join the waitlist. When anyone cancels or reschedules that day, everyone on the waitlist is notified — first come, first served.
Four things to set up first
The “Today” board lists what's still missing:
| Tab | What to set |
|---|---|
| Locations | Name, address, phone, opening hours note, Google review link (used in follow-ups) |
| Services | Name, duration, price, clean-up time, slot interval, minimum notice, how many days ahead, reminder times |
| Staff & shifts | Which services each person offers, weekly shifts (two locations on the same day is fine, as long as they don't overlap), assignment weight |
| LINE & automation | Connect your LINE Official Account (step-by-step on the page) and turn AI replies, follow-ups and daily staff schedules on or off |
How staff are assigned
If the customer didn't choose someone, a person is picked the moment they book:
- Working at that time, not on leave, not already booked
- Offers the service and matches the customer's gender preference
- Regular customers go back to the same therapist as last time
- Otherwise, the person with the fewest bookings today divided by their weight (200 = twice as many, 50 = half)
Assignment always follows these rules — never AI. Each booking card shows why it was assigned (requested / regular customer / auto-assigned / reassigned by manager).
The Today board
One column per staff member, with their bookings for the day. On each card you can:
- Reassign to someone free at that time — the old and new staff and the customer are notified
- Mark Arrived / No-show (no-shows don't get a follow-up)
- Cancel — the customer and staff member are notified
For phone and walk-in customers, use + Book for customer. It's assigned and reminded the same way, and ignores the minimum-notice rule. The board refreshes every 60 seconds, so it works well on the front-desk computer.
Time off and shift changes
On Shift changes, pick a staff member and a date, then choose “Time off (whole day)” or “That day, work at…” a location and time range. That day follows only this change, not the regular shifts. If they already have bookings that the new hours don't cover, you'll be reminded to reassign them on the board.
Automatic LINE messages
| When | Who receives it |
|---|---|
| Booking confirmed | The customer (with map and reschedule/cancel buttons) and the assigned staff member |
| The day before | The customer (with a “Confirm” button — the board shows who confirmed) |
| Reassigned, rescheduled or cancelled | The customer and affected staff |
| A waitlisted day opens up | Customers on that day's waitlist |
| 2 hours after the visit | The customer (thank-you, Google review link, book again) |
| Every morning after 8:00 | Staff with LINE connected (that day's schedule; no message if they have no bookings) |
Replies to customers who tap a button in chat are free. Confirmations, reminders and staff messages are push messages and count toward your LINE Official Account message quota.
AI replies on LINE
Turn this on under LINE & automation (you'll need an Anthropic or OpenAI key in AI writing key first). Customers can then simply type in LINE:
- “Anything free tomorrow evening downtown? My shoulders are really tight” → the AI suggests a service and lists time buttons; one tap books it
- “What have I booked?” / “Cancel Saturday's booking” → lists their bookings and cancels after confirming
- “Is there parking?” → answers from your location details and the Support bubble knowledge base
The AI only works out what the customer means. Times always come from the schedule, and a booking only happens when the customer taps a time button. If the AI can't answer, it tells the customer a staff member will reply, and your team replies in the LINE Official Account Manager as usual.
Connecting staff to LINE
In Staff & shifts, click Connect LINE for each person and send them the link. Opening it in LINE connects their account (valid for 7 days). If someone changes phones or leaves, click Disconnect LINE.
